Set up the Scanner App
Prepare the staff check-in web app, protect access, and brief hosts before the event opens.

In this article, you'll prepare the Scanner App for host-assisted check-in, secure access, and brief the staff who will welcome attendees on site.
Prerequisites
- Your event uses host-assisted
Scancheck-in, or you want staff ready to scan attendee tickets. - You have at least one staff device with a camera and internet connection.
- If you still need to decide between attendee self check-in and staff-assisted scanning, see Configure check-in (Self vs. Scan).
- You have already planned a rehearsal with Test your event.
Setup
Open the Check-in Scanner App panel
In the event activity's bookings area, open the Check-in Scanner App section. This is where OmniLab keeps the shared URL, the password, and the host briefing tools.

Copy the Scanner URL
Share the Scanner URL with the staff members who will handle arrivals. The Scanner App is a web app, so hosts open the link in their browser instead of installing a separate app.
When hosts open the link, they authenticate once and then choose the activity they need to manage.
Review or change the password
The same campaign-level password protects the shared Scanner URL. Keep access limited to the people working the event, and change the password before launch if the setup has already been circulated more widely during preparation.
Download the instructions PDF
Generate the PDF when you want one document that includes the Scanner URL, a QR shortcut, and the current password. This is especially useful for shift-based staffing or external host teams.
Test each staff device
Open the Scanner App on each smartphone or tablet that will be used on the day, enter the password, and run one real scan during rehearsal. Confirm the device camera works well, the network is stable, and the check-in result returns immediately.
What hosts can do after login

Choose the easiest scanning device
The Scanner App works in a browser on smartphones and tablets. For continuous front-desk scanning, most teams prefer recent smartphones because they are faster to position over attendee ticket QR codes.
Example staffing setup
For a Saturday family workshop, you might brief two hosts the evening before launch. Host A scans arriving ticket QR codes at the entrance, while Host B uses Find by Email for attendees who cannot find their ticket and checks Find by Slot when the next session starts boarding. Because check-in updates in real time, both hosts see the latest attendee status immediately.
